This CRM tool is used to manage and work through customer and order information in Promena’s field sales team, and results are consolidated for reporting to the client.
The results of each visit are logged by field sales staff after the event and sent electronically to the back-office sales team when work is complete.
A “one-stop shop” for customer and order information; simple quantitative reporting.
«Interface» here means the ERP interfaces between Promena and the logistics companies carrying out the work (generally Promlog and Planzer Transport, with some external warehouses and forwarders).
These interfaces enable all relevant information from a customer’s order to be sent between Promena and the logistics company without having to be logged again (and thus without an increased risk of errors). This also puts the systems in synch with one another.

Electronic (paperless) order processing between the manufacturer (distributor) and the retailer/wholesaler, directly from/into its ERP system, that is encoded in accordance with the EDIFACT standard and thus free from errors.
The EDI options range from ORDERS (transmission of purchase orders) and ORDRS (transmission of order confirmations) through to DESADV (transmission of delivery notes) and INVOIC (transmission of invoices).
All relevant business processes are mapped using the integrated Microsoft Dynamics AX enterprise resource planning software. It is used for master data management, order processing, warehouse management and financial accounting – including managing accounts payable and accounts receivable – through to HR.
The software can be adapted flexibly as requirements dictate. The use of uniform underlying data means that all business processes and operating data along the value chain are linked together. This integration allows the individual business transactions to be processed in an efficient and targeted way.
Via PIM SyncWORKS, all product information (B2B and B2C) relevant to the Swiss market is managed by the manufacturer (distributor) in accordance with the GS1 standard and provided electronically in real time to retailers and wholesalers via the GloLIB Swiss data pool.
Text content (e.g. product descriptions, usage tips, online shop search terms) are provided in four languages (German, French, Italian, English).
GDSN is geared towards maximising online sales success and, additionally via www.trustbox.swiss, provides Swiss consumers with reliable, detailed information on food such as lists of ingredients, nutritional values, allergens, additives, etc.
All purchase orders processed in ERP – on both the sale and purchase sides – can be statistically evaluated in volume and value terms (including specific KPIs such as customer group and delivery deadline), including comparisons with the previous period and the budget, from the top level of master data (product group, customer group) to the bottom level (product, invoice customer) and provided to clients as Excel exports on request at intervals to be agreed.
The “Supply Chain Center” vendor managed inventory software enables Promena to control the stock levels of selected trade partners itself by automated means. Customers make stock level and sales data available in the web app, and Promena issues an EDI purchase order accordingly that is based on the minimum stock levels and order volumes agreed with the customers.
The VMI process means that retail and wholesale customers no longer need to worry about the time-consuming warehouse management and ordering processes, and Promena is able to analyse sales figures for individual branches and control stock levels at customers’ warehouses in line with requirements.
A B2B online shop is operated for out-of-home customers in which the range and individual prices can be set for each customer. Food businesses or Promena ambassadors can issue purchase orders easily and efficiently online. As Sana’s online shop software is fully integrated into the MS Dynamics AX ERP, there are no interfaces requiring time-consuming management, and compliance with standard processes and data integrity with the ERP system are ensured at all times.
